Exhibitor Information

Please find below some information with regards to the conference, please ensure that you read these prior to attending the conference. Please ensure that the delegates attending with the stand are aware of the set up and breakdown times. Attached is further information from the venue with details of collection, delivery and pick up details.

  1. Set up

We have access to the venue from 4pm -8pm on 16th June 2025. Please do not arrive before this time as you may be turned away. Representatives from BABICM will be available from 4pm to assist you and show you to the exhibition area. If you are driving and require to offload please use GATE 27.  There is a large goods lift and you will be directed to the exhibition area.

  •               If you unable to set up on 16th June access to the venue is available from 7am on the 17th June 2025
  •               If you are sending your items by courier please include the below address onto deliveries. Parcels should arrive no earlier than 13th June

  1. Accommodation

Accommodation for this event should be booked separately.

We have negotiated a discount rate of £145 per night at the onsite Doubletree by Hilton at the Coventry Arena.

  • Directions to the venue

Please see https://www.coventrybuildingsocietyarena.co.uk/visiting-us/getting-here/ for directions and map to the venue. There is plenty of free car parking space available. Entrance to the venue is via the Convention Halls Entrance. Please use car park B or C. Car Park Map. Car parking is FREE it is bookable before the event or you need to enter a code on the each day of the conference.

  • Your exhibition space

Your exhibition space consists of a 3m x 2m space with 1.8m x 0.6m trestle table. Please note that you will need to be able to fit ALL of your display material into your allotted space so that delegates can circulate around the exhibition are unrestricted, but also out of courtesy to other exhibitors. 2 larger stands of 4 x 3 have been allocated for our use. Please contact BABICM to discuss availability.

  • During the conference

Delegates will have the opportunity to visit your stand before the conference begins, during the morning breaks and at lunch times. Timings for both days will be confirmed shortly

There will not be an afternoon break on day 2 and exhibition stands can be dismantled after the lunch break if you are not attending the presentations.

  • Lunch

In order for you to maximise networking time, we have arranged for all exhibitor lunches to be available half an hour before the conference breaks for lunch. If you have any special dietary requirements please email us on secretary@babicm.org .

  • End of the day – 18th June 2024

We are required to vacate the venue by 5pm. Please ask if you require help with packing away your stand. Please can you ensure your courier is ordered for as soon as possible. Please leave packed boxed for couriers on your stand and these will be moved for collection after 18th.
